Dear Ms. Seema Rana,

Insertion of a clause regarding passing the last semester of the degree course is quite normal. You could have written this on your own as well. You may write:

"The company has offered you employment anticipating that you will pass all the examinations of your graduation completely. Upon the declaration of the result of your last semester, you are required to submit the original copies of all the semesters for verification purposes. In the event that your graduation is incomplete or if the results are withheld by your university for any reason, the company reserves the right to discontinue your employment."

In fact, this clause may not be necessary. You can place the freshly graduated employee under probation for 180 days. If the probationer fails to submit the mark lists of all the semesters, you can terminate the employment accordingly. If, for any reason, the results are delayed, you have the option to extend the probation period by another 180 days.

Regardless of whether you include the clause in the appointment letter upon graduation completion or not, during campus interviews, it is advisable to obtain a declaration from the candidate committing to submit the mark lists within 90/120 days of completing the last semester. Ensure to take the countersignature of the Dean/principal of the college/institute on the declaration. This declaration will bind the selected candidate to submit the mark list by the specified due date.
