Dear All,

Please share how to track attendance in a CA Firm for employees, as most of them either work at the client's site or visit clients very frequently. Employees often arrive late in the morning, citing that they were working late at the client's site. With 80-100 employees, it is challenging to monitor working hours and attendance efficiently.

For in-office staff, we utilize biometric systems. However, for those who arrive late due to client visits, they always claim they were at a client's location.

Hi,

You need to get their attendance approval through their superior for such work at the client site. Otherwise, provide an outdoor duty format that can be signed by the concerned superior as well as the employee for your records. Simply put, you cannot base their salaries on verbal statements; ensure you obtain proper justifications.

Team leaders should be made responsible to keep track of their staff. Simple SMSing by late working staff to team leaders who will keep them involved and aware. Visits to clients should be well planned with approvals in writing. Sudden changes should be made with prior permissions. HODs should keep watch on audit task completion from time to time and ensure the completion of audit/accounting work. Give the employees a logbook to maintain with details of work, timings, and places they visited.

You have to coordinate with clients wherever your employees are visiting regularly. Secondly, you have to upgrade their job description accordingly. Where they will visit should be informed as per schedule, and the same should be checked with the client. It is very easy.
