Dea All,
What should be the shape and size of a suggestion box????
or we can put any box for suggestion and name it as suggestion box ....like any plastic rectangle box which normally we put for medicine kit..
or shall it be through internet like from our official id and send it to the concerned HR dept....
suggestions are always invited....

Dear Anupama,
There is no particular prescribed shape for the suggestion box.What you can do it is take a cardboard box cover it neatly with coloured paper.Give a opening on the top.Put the Comment as "All your valuable suggestions are required" on the Box instead of suggestion box.And i say it is very useful.Ppl who are very shy to come and speak will post their true comments.Keep the Suggestion Box where everybody will visit frequently.You can keep it in the dining hall/reception area/meeting room.
One more thing is that ck the suggestion box once in a week and do respond to their suggestion as early as possible coz the employee will expect you to do so.
This is my suggestion further you are to respond/act.

Suggestion Box should be a box which can accommodate general complaints about the administration,Facility management issues and allied issues. There is not a particular size of the box but it must be of a size that it can not be unnoticed when placed in common places. you can decide the size so as to accommodate a4 size parers. Secondly its place must be fixed and visible to everybody ( And Suggestion/ complaint box clearly written on it). During the induction or Orientation session of the new employees this must be communicated the same. And to the existing fleet of employees you can shoot a mail and make them aware of the suggestion box.
Finally the suggestions found in the box should be honestly accessed and actions should follow the decisions.

I have seen that in organizations the suggestion/complain box is the most ignored one.
I believe the shape of it can be a little informal (different from the usual hospital suggestion box) so that it looks appealing and interesting. It depends upon people whether they r comfortable with putting their thoughts on paper or through net. The idea of suggestions by net is also good but it has to go through a proper channel.

so we have planned that people shall put only the suggestion not their name on that paper....

I believe writing names on the suggestion box should be their personal choice. In a company where we were doing our consulting, we found that many people want their names on suggestion slips so that if the suggestion or initiative is accepted by the management, they know whose idea is it and he may get some kind of recognition.
But with complain forms it does not happen. Here also we have to put guidelines - whether suggestion, initiatives or improvement in company
OR A grievance/complaint.
I think ur idea will definitely click and accrdingly u can modify as the requirement changes.

Do you think suggestion box and complaint box shall put combined ???
I dont think that people shall write about their complaint and put their name on it....
And I have seen that most of the people leave the organization just because they cant raise their voice against their seniors or reporting head..
And Management wont let that person go away if they think that the complaint is not a valid point...Mgt may think that person is a complainer......
Its better that we call it as a suggestion box....inspite of we let our employees to complain against anything let them to come with an suggestion....
what u think????
rest seniors also can suggest or put forward their views...

No need to create a fuss or complex situation making different boxes. I believe what u have thought of is very good. if u see any changes to be implemented, u can do at that point of time.

Concept:

It involve people as much as possible in all aspects of work decisions and planning. This involvement increases ownership and commitment, retains the best employees and fosters an environment in which people choose to be motivated and contributing.



A carefully constructed employee suggestion program launched with organizational commitment, clarity and ongoing communication can positively impact employees motivation and enthusiasm.It may include ideas that affect cost savings, quality, productivity, process improvements, revenue-generation and morale-enhancement.



Intrinsic to most employee involvement processes is training in team effectiveness, communication, and problem solving; the development of reward and recognition systems; and frequently, the sharing of gains made through employee involvement efforts.



Problem Observed:

The process decided upon for the submission and review of suggestions in the employee suggestion program should be publicly communicated.

Have to check the suggestion box once in a week and do respond to their suggestion as early as possible because employee will expect from the company to do so.

People, who fail to get timely feedback, stop submitting ideas. If every idea becomes a “why should we” rather than a “why should we not”, people get discouraged quickly.



Solution Analyzed:

Employees just want to know what is happening with their ideas.

Feedback to people with suggestions have to make in private, especially if the idea is rejected. Otherwise, people will be reluctant to possibly your most fruitful suggestions. On the other hand, when an employee suggestion is implemented and it results in a reward ...company has to acknowledge the contribution at a staff meeting.



Proposal and Approaches:

Before starting an employee suggestion programme Company has to share all of the guidelines and especially, the goals that company trying to accomplish

We can set a day a month for a luncheon /monthend meeting at which every employee is asked to submit at least one idea or can ask the reporting head to bring three employee ideas to each monthend meeting. Creativity serves you well in idea generation.



Efforts:


How to involve employees in decisionmaking and continuous improvement activities is the strategic aspect of involvement and can include such methods as suggestion systems, work teams, continuous improvement meetings, continuous improvement events, corrective action processes, and periodic discussions with the supervisor.

Financial Impact

Rewards can include gifts or certificates..Its a recurring cost...
