I recently joined a Logistics Company where I am placed in the Head Office, and the work locations of employees are in the same city but different locations. Can anybody suggest how I can celebrate my employees' birthdays? Please reply to me via email at rachna.goel02@gmail.com.

Dear Rachna,

In my previous organization, we had a budget of Rs.500/- per employee birthday, wherein we would get the employee a card with some sweets and a desktop gift with the company logo. It made wonders for employee morale.

There are several other ways you could celebrate an employee's birthday. For example, you could cut a cake for the employee and gather the entire team to sing for them. You could gift dining vouchers or Sodexo coupons, or give the person a paid day off on their birthday along with some token vouchers. The list simply goes on and on; the idea is to identify what works for you and what would have a major impact on the employee to cheer them up on their birthday.

If the team is larger, you can have monthly birthday celebrations, preferably on the last day of the month or the last Friday of every month. For smaller teams, you can have birthday cakes and short games played in the office, focusing on the birthday boy or girl. You can collect a small monthly contribution from the entire team to cover the expenses.

Dear Rachana,

In this mechanical world, no one will contribute to celebrating the other's birthday, based on my experience. My suggestion would be to send a birthday greeting personally to the individual and announce the birthday along with wishes on the notice board for everyone, including a photograph of the birthday boy or girl.

Hi Rachana,

If your constraint is the place, i.e., where to celebrate, consider the following three options. Try not to take money from employees as this does not create a positive impression about HR:

1) You can gather all the employees on the last working day of every month at the HO and celebrate the birthdays of all the employees whose birthdays fall in that particular month. This is beneficial for building rapport between the different teams of your company as well.

2) You can visit each office every month on the last working day and celebrate birthdays. This way, employees will feel that HR is looking after them, especially in branch offices where HR presence may be lacking.

3) Let employees celebrate their birthdays whenever they occur, and HR can sponsor the expenses for cakes and other items.

Hi There

We send emails with animated gifs of birthday wishes, either with small poems or anything interesting about that person, and the rest of the team's replies follow with their thoughts.

Apart from emails, we do the following to make a special day for our team member.

1. Buy a card and write birthday wishes or color stamp (finger stamp with different acrylic colors) instead of signatures.
2. Decorate the cubicle with balloons according to his/her taste.
3. Place a flower bouquet.
4. Cut the birthday cake and have a cake bash (smearing the cake on his/her face).
5. To make him feel more special, ask him to speak.
6. If you have a notice board, place his picture and let everyone write on the whiteboard.
7. Gift him/her with a box of goodies/chocolates.

Hi,

You can fix any day of the month and arrange a get-together in which you can celebrate the birthdays of all the employees collectively. This will also give a chance for all the employees to get to know and interact with each other. On an individual's birthday, send them an SMS, and if possible, send a gift to them.

Dear Friends,

A lot of inputs have been given. Depending on the budget availability, we can customize the celebration process. I would like to add one more angle. What is the correct birthday? Many employees have two birthdates! One as per the record, the other the actual birthdate. In my small team, 20% of employees have a dual birthdate. I have decided to celebrate only on the birth date as per the record.

Hi,

We identify the list of employees whose birthdays fall in a particular month, and in the third week of that month, we celebrate the birthdays of our employees by cutting a cake. Senior Management also participates in this celebration, conveys their wishes, and distributes birthday cards to employees. Additionally, we post the list of employees' birthdates on the information board so that their friends, colleagues, and others can convey their birthday greetings to them.
