We are a small startup company (<10 employees). We have voluntarily applied for a PF setup more than 5 months ago.
We have been orally told that the acceptance is done more than a few months ago. However, we have not got the
intimation about the PF account no. Would anyone with a similar experience advice us on how long does it normally
take to obtain the PF code for the company?
In the interim, what happens to the Employee and Employer contributions? If an employee whose PF amount has
been deducted terminates employment, what is the procedure that should be adopted?

Dear Friend,
Normally the department took 1-2 month for clearing all the process. But, some time it took more time also, and it could be due to so many reasons as per the department personals. So, it is better to be in touch of the Registering Officer your area at the EPF Office. He can help you better in this. He may also tell you your epf code, if already allotted.
Earlier days, there was option to submit the EPF Contribution without EPF Code also, which was submitted directly to EPFO with DD. But, now these days, the challan is to be generated online only through EPF Portal. So, till you didn't got the code and register your self of EPF Portal, you cannot submit the EPF Contribution anywhere. So, it is better to be in touch of the department and get the Regd. Code at the earliest.
For the employees, whose epf is already deducted but not submitted and they have also left the job, in such case, just submit the contribution to the department and wait for the claim to be received from that employee.

Mr/Ms. SHR, as per the local practice of India, the PF Number must be shown in the payslip.
And, you can check whether your EPF Contribution has been made to govt, by the following link:

Also, it is mandatory for a company to give the payslips to employees, so if there is no concept of Payslip in ur present company, ask the HR/Finance Dept to provide.

As per my professional experience, the PF Code generation takes any where between 4 to 6 weeks from the date of application, if all the documents are in order.
Referring to your question, I am confused as to what you mean by 'acceptance'. If the inspection process is completed by the Enforcement Officer, the code generation should not take more than a month after that.
Regarding the contributions of employees, the employer is eligible to deduct the same only after the Date of Coverage as mentioned in the PF Certificate. So it is important to obtain the PF Certificate and the date of coverage therein for following further formalities.

One important point I can share with you.....Your PF deduction likely to be applicable from the 1st Day of Inspection month........if the inspector is kind enough on your company.....please start deducting employees contribution from the salary of the employees......otherwise your company will have to pay the both share as it is not easy to deduct 4,5 or 6 months contributions from the salary of any employee .....it can create uncessary liability to your employer....
