Dear Seniors,
Greetings of the day.
I would like to have some guidelines that to be introduced in our company for the using of official mobiles. It has been observed that the employees who have been given mobiles for official use are using for personal calling.
After collected the records about the personal calls, it has been observed that the mobile has been used for personal use most of the times. We want to minimize the cost as it is increasing day by day. Our management have decided not to deduct the cost of personal calls but has ordered me to make some guidelines for the same.
Kindly provide me with some of the useful guidelines that can be implemented not fully but somewhat that we can reduce the cost & the staff members will be afraid & also try to minimize the personal calls. This would be very much handy for me.

It is better to set limits for every level and deducting the excess if it crosses the set limit.
Analyse and find the required level of usage for every level --(for official usage) and set limits and draft a policy.
Also, set guidelines for deskphone usage aswell -- else, again your would be in trouble.
Also, the policy should be in such a way that it does not de-moralise the employees since they are using the benefit for sometime now.
Hence, the policy should be drafted very carefully taking into account almost all the issues related to replacement, re-imbursements, limits, usage, damages, roaming, answering and surrendering. Also a note stating it is an official communication medium and not meant for personal use.

Dear Vinayak,
In my opinion you can provide CUG for company officials as calls within the CUG will not be charged. You can consider offering CUG for the spouses/ parents as the case may be but the billing of the spouses/ parents has to be borne by the employee. By this way I am sure that you will minimise the call charges. Once the employee quits deactivate his number/ spouse/ parent number and reassign the number to the new entrant.
As suggested by our colleagues for everything there should be a limit. Give them a Telephone usage allowance (Fixed sum) depending upon the grades and forget it. If it becomes a variable then sky is the limit.
