Dear All,
I am working with a construction company (New Join). In our company, we calculate attendance from the 24th to the 23rd of every month. I have a question regarding this process:
1) For the May attendance, we calculated from Sep 24 to Oct 23, i.e., 30 days.
2) For the month of June, we calculated from Oct 24 to Nov 23, i.e., 31 days.
If we issue a payslip to an employee for the month of November, how many days should I mention?
If an employee attended the entire month without issues in the salary breakup, for example, if they were absent for 3 days and were paid for 28 days based on the above calculation, the problem arises in mentioning the days on the payslip. I have to indicate 30 days for the month of November as per the month, but the salary was paid for 31 days. This calculation difference may affect if the employee submits the payslip to another company.
Thank you.

Dear User,
Your question is indeed an important one as it pertains to accurate payroll management. To address your query, let's break it down.
Your company's attendance cycle runs from the 24th of a month to the 23rd of the next. Therefore, you calculate the days worked in the following month. For example, the month of May is calculated from April 24th to May 23rd.
In the situation you've given, the attendance for November would be calculated from October 24th to November 23rd. This calculation could contain 30 or 31 days, depending on the month.
Now, when it comes to issuing the payslip, it's crucial that the payslip reflects the actual number of days worked within the specific attendance cycle, not the number of days in the calendar month.
So, if an employee has worked for 28 days in the November cycle (October 24 to November 23), the payslip should mention 28 days, even though November has 30 days.
Here are some steps to ensure accurate payslip generation:
1. 👉 Calculate the number of days worked within the attendance cycle (from 24th of one month to 23rd of the next).
2. 👉 Deduct any days not worked (like absences) from the total number of days in the attendance cycle.
3. 👉 The resulting number is what should be mentioned as the 'Number of Days Worked' or 'Days Paid For' on the payslip for that month.
4. 👉 The payslip should clearly mention the attendance cycle dates for transparency.
Remember, the payslip serves as an official record of the employee's earnings and deductions. The number of days worked mentioned on it should align with your company's attendance cycle, not the calendar month. This way, there won't be any confusion or discrepancy if the employee submits the payslip to another company or any official authority.
Please note that the Indian Labour Laws do not specify the attendance cycle or payslip format, but they do require that all information should be accurate and transparent.
I hope this helps. Please feel free to ask if you have further questions.
