Dear Member,

VISION: Where does the company want to be, let us say, in the next 5-10 years.

MISSION: The method by which the vision will be accomplished.

OBJECTIVE: Defining tasks to achieve the mission.

KPI: Performance indicators that will tell whether the objective has been achieved.

A daily life example:

Vision: I will go to Europe for holidays in the year 2014.

Mission:
a) I will increase my savings.
b) I will find out the travel requirements for the trip to Europe.
c) Update/revalidate my passport. (and so on, such as information on hotels, cost of travel, etc.)

Objective:
a)
(i) Open a recurring deposit.
(ii) Take up a part-time job.
b)
(i) Visit various agencies for information.
(ii) Visit websites.
(iii) Ask people who have already been to Europe.
c)
(i) Visit the passport office site to understand the procedure.

KPI:
a)
(i) Recurring deposit has been opened before December 2013 for Rs. xxxxx/- [Yes/No].
(ii) Part-time job secured, giving an income of Rs. xxxx/- before December 2013 [Yes/No].
b)
(i) Enquiries with various agencies made before November 2013 [Yes/No].
(ii) Information from websites gathered before November 2013 [Yes/No], and so on.

Hope this helps in getting an idea about the concepts.

MISSION : Answers the question: “WHY DO WE EXIST
VISION : Communicates the future desired state (what the individual / organization want to become).
VALUES : The ‘means’ by which the mission is communicated. Also provide the motivation and guidelines for action
KPI : Key Performance indicators are normally a set of quantifiable measures that an organisation uses to monitor its performance in terms of accomplishing their mission/strategies/goals/objectives

Dear Fong,

Vision is a clear picture of what the company would be when we arrive in the future.

Strategy entails the long-term decisions and directions that will shape its path to the future.

Mission is a clear and compelling goal.

Values are the core, unshakeable beliefs we have about what is important to us.

Purpose is the answer to the question, "Why are we here?"

Goals are the short-term milestones that we will pass on the way to the vision.

Hope this helps.

Dear All,

Please guide me on how to write an email to all staff, including Senior Management. I am facing several issues in the office:

a) Late arrival to the office / early departure
b) Site visits
c) Cab booking
d) Lunch / dinner
e) Alcohol (which is not to be entertained)

At the end of the month, they submit reimbursement paperwork. I would like to email everyone (including Senior Management) asking them to seek pre-approval / inform HR/Admin before going for any site visit / entertaining guests, etc.

I aim to send a polite but firm email asking everyone to adhere to the rules and regulations.

My boss (owner of the company) is upset with me for this oversight, and I am always at the receiving end.

I would appreciate it if you could share a format for the same (for the request) if available.

Thanks & Regards

Dear colleagues,

As you are aware, all systems and procedures that have been put in place are for the sake of good order. The non-existence of a system results in chaos. To streamline procedures, the following guidelines are being implemented:

Late Arrival/Early Departure: Two registers are being kept at the reception - one for late arrival and one for early departure. If any employee arrives late or departs early, they are expected to fill up the register with the reason for the early departure/late arrival.

On-Duty Register: An on-duty register is being introduced. It is recommended that all employees visiting the site must enter details of their visit before departure and after arrival. This information will also be kept at the reception.

Cab Booking: All cab bookings for official purposes will now be handled only by the admin. This change is to ensure good order. The accounts department will not process any payments for cabs that were not booked through the admin. Therefore, kindly note this and route your bookings through the admin.

Entertainment: Entertaining guests is essential in our line of business. However, prior approval from the department head must be obtained before entertaining guests. In the absence of such approval, please keep the admin informed. The company does not support the consumption of alcohol, and hence, no alcohol-related expenses will be approved.

These procedures and guidelines will be effective immediately. We request your kind cooperation and compliance with these established procedures. If you require any clarification, please feel free to reach out to the undersigned.
