Regarding Abscond employee's no dues clearance

Sir, if an employee has absconded and even after sending 2 absenteeism letters, no reply has been received and the file is closed. Then suddenly after a few years the employee asks for experience letter and also agrees to clear the dues. What should be the next step in this condition. Should HR give him experience letter after no dues clearance or not. Please clear.

Hope the file is closed after serving proper termination letter.

Now the employee contact for want of experience certificate which he may be expected to submit with his future employer.

In this situation it is purely Employer's call whether to provide experience certificate after taking money in lieu of notice period.

Supposed if you are planning to accept the request of the employee please document the process properly.

First of all get apology letter from the employee for absconding without information. Employee has to confess what he /she did is wrong and employee need to confirm his intention of making payment in lieu of notice period. Where ever possible get these letter in hand written method. Collect Demand Draft in favor of the company later you may issue experience letter.

If your Management is not willing to issue experience letter then close the matter by informing the employee that as he had absconded without information experience letter cannot be provided now.

What is the big deal in giving him an experience letter? It is true that he just abandoned the job and you declared him as absconding. If the employee is ready to bear the cost you had suffered any loss due to that why don't you agree and give him a letter saying that he was relieved following his resignation? As Lakshmi Narayan has said, you can collect an apology letter also. I think, we should close it by issuing a letter, let him build a career. He will always remember you as a good employer and a good place to work.
