Hi,

Normally, a Full and Final Settlement computation sheet will be provided. What do you mean by the Full and Final Letter format? In the FFS computation sheet itself, the employee can be asked to sign stating, "I accept and agree and have no claim or further dues to be claimed from the Company."

When an employee leaves without providing information, you need to follow the proper disciplinary process and provide the employee with ample opportunity to report back. Even if the employee doesn't report back, an amount equivalent to the notice period from FFS can be recovered.

Here's a sample FNF letter format in Word format:

[Employee Name] [Employee Address]

Dear [Employee Name],

We regret to accept your resignation from the position of [Position Name] effective from [Last Working Day]. As per the company policy, we are required to process your full and final settlement of accounts.

Please find enclosed a cheque of [Amount] towards your settlement dues, which includes your outstanding salary, earned leave balance, reimbursement of expenses, and any other payments due to you.

We would also like to bring to your notice that you have not served the required notice period of [Notice Period]. As per the company policy, we reserve the right to recover the notice period salary from the settlement dues. We request you to settle the same at the earliest to avoid any legal action.

If you have any concerns or queries regarding the settlement, please do not hesitate to contact the HR department.

We appreciate your contribution to the company and wish you all the best for your future endeavors.

[Your Name] [Company Name]

Regarding your second question, holding the FNF settlement in case of an employee leaving without serving notice depends on the company's policy and the terms mentioned in the employment contract. Some companies may withhold the settlement or recover the notice period salary from the dues, while others may not have such provisions. It is recommended to refer to the company's policies and consult with the HR department to determine the appropriate action to take in such situations.
