I would like to inform you that we provided an increment to our staff in the month of January. However, the management later decided to give a general increment to all employees. This adjustment may be considered a revision in the salary structure. Could you please suggest the appropriate format we should use to provide employees with documentary proof of the salary revision? If we initially issued increment letters, what should the format be now?

Management might have considered various factors and arrived at some amount. Being an HR professional, you may have some points to showcase while communicating. So, make it ready after a detailed discussion with management, get the buy-in from department heads, and then plan for the announcement. Also, issue verbal communication - email or letters (based on the nature of the industry and the kind of access to information).
