I have a unique issue and I need to know what kind of problem will come to me & solution.

Below is my issue:

In 2003, I joined a company, ABC Technologies, which is a proprietorship company. I received an offer and appointment in the name of ABC Technologies. After 2 years, they converted to ABC Innovations Private Limited and also opened a new company called ABC Connect Private Limited. Innovations was registered for service tax, and Connect was registered for sales tax. Later, I unknowingly transferred from Innovations to Connect 4 years before.

My employment history is as follows:

1. Worked in ABC Technologies for 2 years as a software developer.

2. Worked in ABC Innovations for 3 years as a Team Leader.

3. Worked in ABC Connect for 4 years as a Project Manager.

All companies have the same managing director. We do not have employee provident fund, gratuity, etc.

Now, my doubt is:

1) Actually, I am planning to look for a job in a big MNC company like Microsoft/IBM, etc. What kind of HR documents will they ask for, and what do I need to produce to satisfy my employment history?

Please help me out.

As you have mentioned your employment history, in any other organization, they will ask you for your resignation letter from the previous company and appointment letter from the new company to verify your continuous employment history. Otherwise, they may ask for an intercompany transfer letter.

Since the Managing Director of all the companies is the same person and also promoted, I presume, by the same set of investors, you can project them as Group Companies, with your services among all the three companies being inter-company transfers.

Dear AK Arora,

I don't have any salary slip or appointment/transfer certificates. Since our office does not have a defined process, the salary slip is given on-demand only. I have one or two that I requested for buying a credit card. Usually, the salary will be credited to our Citibank account with the transaction remark "Salary from ABC."

Anyone who hears this will be surprised by the way we work. Since I receive a decent salary and I am satisfied with my work so far, I didn't bother until recently when I got disturbed. One of my colleagues got selected in CTS, and he got rejected due to document verification. So, I asked my account department (which is the only one person for the whole organization) to rectify the issues (as we don't have a separate HR department, and the Account Dept is taking care of HR). She is also willing to help but clueless on what kind of documents need to be provided.

Can you tell me:

1) whether an appointment letter for ABC Innovation and ABC Connect needs to be given or if just a transfer letter is sufficient since all companies are governed by the same person.

2) whether any special document needs to be prepared for the transfer of ABC Technologies to ABC Innovations (since ABC Technologies have merged to become Innovations Private Limited).

3) if you can provide me with any sample or link, it will be helpful.

Well, in that case, you need to carry both the appointment letter and the transfer letter along with your relieving/experience letter, which should state that you have worked with them from 12-02-2003 to 25-09-2012 or from 12.02.2003 to 14.06.2008 with ABC Innovation (Technology).

The relieving/experience letter, along with your transfer and appointment letter, is the proof of your employment, and during verification, these documents serve as proof as well.

Secondly, I didn't understand this "Special Document." Could you please clarify what you meant by "Special Documents"?

The required documents for employment verification that I have mentioned above are what you need to carry and present to the new employer as proof of your employment with ABC Group. Yes, ABC Group should be mentioned in your relieving letter along with presenting the transfer letter of your appointment.

Let me explain all of this to you:

When your recruiter/new employer asks you to present the documents of your employment or describe it, you have to state exactly what you have mentioned in your first post here.

You should mention that you have worked with the ABC Group of companies (ABC Innovation, which emerged from Technology, and ABC Connect).

Essentially, you need to explain the company profile of your ABC Company/Group wisely. Since you have spent a significant amount of time as one of the oldest employees of this ABC Group, your explanation will also convey how well you know the company, the experience you have gained, and the history of your employment to your new company/recruiters.
