Dear Seniors,

State Bank of India rejected my PF challan for the month of March, asking for a new format. We have online PFINDIA registration but don't know how to create the challan online. I found one ECR option where it is asking to upload some text file. Please help me with how I can create a text format file that can be uploaded online to create a new PF challan. It's very urgent. Please guide me.

Hi,

First of all, create a user ID and password on the PF website. There is an option called E-sewa. Make a file in Excel 2007 following the format provided in the E-sewa option. Save the file in CSV format. After saving the file in CSV format, open it in a text file and remove the header line from the text file. Replace all "," with "#~#". Finally, download it on your homepage, which you have created. Then, you can generate a challan.

Dear seniors,

My organization is EDLI exempted. We pay LIC yearly for the EDLI scheme. When generating the challan, will it omit account number 21, or do we need to raise this issue with PF? I noticed that there are no details about EDLI in the ECR format.

Creating an Excel file can be too hectic. Instead, download the E-Return tools and install them on your system. Update the employer data, input the monthly data, and generate the ECR file. Then, upload it using E-sewa. This is the easiest way to proceed, and it is also compulsory as we will need to file forms such as 3A, 6A, 12A, etc., through these E-Return tools later on.

For EDLI, you need not ask the PF department. Under E-return tools, there is an option for EDLI exemption. You need to first check on it and then generate the ECR text and upload. Keep the EDLI column blank and submit.

I noticed there are dots in the names and contributions. All contributions should be rounded to the nearest rupee. Could you please send the Excel sheet so that I can review and get back to you?

Hello Ravita Shukla,

Have you installed E-return tools? My suggestion is you better go for these tools; this will make your work easy and safe. Creating Excel and converting the same into text will give you errors, but generating files through E-return tools for upload is easy and error-free.

Dear Seniors,

Following the E-return Tool installation instructions, I have downloaded all the tools and completed the installation. However, I cannot find the datasheets in Excel format as shown in the demo. Please help me understand what the problem could be. The tools I have downloaded are:
1. Crystal
2. Dot net
3. Windows Installer
4. E-return Setup
5. Setup.exe

I have unzipped them properly and placed them in one folder. What should I do next? Where can I find these Excel files? Please guide me.

I am at a loss, as nothing seems to be happening. My PC has 1 GB of RAM and a 160 GB hard disk. Please assist me.

I see you are making things complicated. Instead of that, you could have done it in an Excel sheet, converted it to CSV, and then to a TXT file for uploading. This process has already been discussed in the same topic and various other topics.

Download the example files in CSV format. Nothing to worry about; compliance is very easy. Install all the relevant files.

But I am still waiting for the Excel file which I had sent you. The CSV file is created, which I had enclosed in the previous communication, but it is still showing an error. Please check the Excel file that I sent you with the name "neetu.laxminarain@yahoo.co.in" on your email ID and let me know what mistake is there because I have removed all the commas from it.

Can anyone describe the difference between EPF and EPD as it is mentioned in the Excel format sheet for generating Challan online?

EPF is the Provident Fund, and EPS is the Pension Fund. Pension is 8.33% of the employer's contribution, and the remaining amount will be accounted for in the EPF account along with the employee's contribution.

After preparing a text file from a CSV file, the issue arises where the commas are not displayed. How can I resolve this and replace "#~#" with a space? What mistakes might I have made during the preparation of the CSV and text files?

Hi Meena.

Many of my other friends have also faced the same issues. When they encounter errors like that, they simply send them to me and request that I try to solve the issues. If possible, copy the same Excel file to another system and attempt to perform the same procedure for converting from CSV to TXT. If you still encounter the same issues, then you should approach me as well.

First of all - the steps for online PF challan are as follows:

1. Employee details - open file - save as CSV file - open - exit
2. Open CSV file with Notepad - edit - find & replace with #~# - save - exit
3. Rename the file with .txt extension
4. Login - ECR - ECR upload - choose file - submit challan - fill up challan (A/c1 & A/c22) - submit - click on the PDF file - print - approve challan - click on the PDF file - print acknowledgment - click on the PDF file - print - exit - log out

All steps for the online PF challan process are very easy.

Already, there are lots of responses on the same. You should file PF on E-Seva and submit the online copy along with the cheque with the online TRRN Number.

While completing all requirements and ready for PF challan preparation, some mistake happened and was subsequently rectified - a new challan was created and remitted successfully. However, a message from PF came stating that the remittance had not been made for the challan created with TRRN no. (this is the erroneous challan). What should I do? As far as the accounts are concerned, all months have been remitted intact. Seniors, can I have your opinion/suggestion on this?
