Understanding Administrative Responsibilities and Functions in Organizations

This is Ankitha. Please help me regarding this. Please tell me what are the works, duties, and responsibilities of the administrative department. I'm working in an MNC but I don't have any experience in the A/C's field. I am interested in the admin department, so please help me.

·Cafeteria and Pantry Management.
·Liasioning with government agencies (BMC,Police,Telephone,Landlord,Electricity).
·Handling Shop & Establishment License.
·Labor Policy.
·Procurement and Vendor Development. (Capex & Opex)
·Travel & Travel Related Matters (Ticket booking – Flight, Train & Cars).
·Hotel bookings for all levels of Employees.
·Ensuring Payments to Vendors. (Daily Activity)
·Assets Management.
·Event Management.
·Providing Medical Assistance.
·Printing & Office stationary.
·Monthly Expenses Provision
·Identification of Workstation for new Employees.
·Access Cards.
·Fire System
·Infrastructure Management.
·Annual Maintenance Contract renewal and follow up.
·Miscellaneous Functions: Newspaper, Magazines, Couriers etc

Hi Ankita,

Yashesh has covered everything... If you're interested in admin,

First of all, please note it is not a 9 to 5 job. You should be aware of lots of government activities, laws, be quick thinkers, have wonderful contacts in markets, be familiar with every corner of the office, and most importantly, it is a thankless job, etc.

If you are still interested, then please discuss with your HR, spend some time in the Admin department, start doing some small jobs like checking vendor bills, be a part of admin meetings with vendors. Practical knowledge is the most important thing in admin. Knowing how to negotiate well is a quality that you will learn through your practical experience only; it is not available in any books.

So, my suggestion is to take permission from your HR, spend at least 2 hours a day in the admin department, start learning small things, and observe how the admin department functions.

Don't get scared; I don't mean to scare you. This is a wonderful department. I take care of my office like my home. It is a wonderful experience to work in the admin department; it is the most important and heart of the organization.

Hi Sir,

This is Nitesh. I also work in a firm as an admin executive. Despite being in an administrative role, I feel that there is still so much for me to learn about admin functions. I do not know much about policies such as government regulations and BMC guidelines, which makes it challenging for me to handle any BMC-related issues due to my limited knowledge.

There are many things I still need to understand. Currently, my company is planning to open a new branch in Mumbai, and the responsibility for this task has been assigned to me. Since I have no prior experience in this area, I am concerned about whether I will be able to handle it effectively.

I kindly request your assistance with this matter. If possible, could you please provide me with a list of suppliers that can be utilized for administrative functions? I eagerly await your response.

GENERAL ADMINISTRATION
• Liaison with neighboring industries, police, fire, water, electricity departments, and district administration.
• Represent the Company during inspections by Dignitaries from Foreign Countries.
• Negotiations with schools, hospitals, and retailers for discounts.
• Coordinate with the landlord, sarpanch, and the local community.
• Liaison with government regulatory bodies to obtain necessary sanctions.
• Monitoring of security, transportation, canteen, and horticulture.
• Interact with the Project team to oversee major renovation and construction projects.
• Tie-up with rail/air travel agents, car hire agencies, hotels, and travel management.
• Organize company events, birthday parties, farewells on retirement, Officers club functions, etc.
