Understanding Leave Calculation and Employee Entitlements in Organizations

Hi,

Can anyone help me to find the formula for casual leave, paid leave, etc.? Is it manual or can it be fixed for monthly or yearly wise? Please tell me if there are weekly offs and holidays, can they be added to one's total working days? For example, total present days 240, weekly off 30, holidays 5, then working days = 240 days or 275 days.

After how many days are we entitled to get casual leave, paid leave, etc.? Please provide me with full details as there is some confusion in making formulas. If you have any formulas, please email me at arya22@sify.com.

Employees who have completed 1 month will get 1 CL and 2 SL. However, today in private organizations, after completion of 1 year, a person is entitled to paid leave of 15 days. The allocation of leaves varies depending on the firm; some may provide 30 PL, 12 CL, and 15 SL at the time of joining, while others may offer 12 CL and 12 SL after completion of 1 month.

I hope you are aware of leaves, as per my knowledge, there are 3 types of leaves:

1) Casual leaves
2) Sick leaves
3) Paid or earned leaves

Casual leaves will be allotted to every employee in the number of 12 per year, i.e., one per month. Sick leaves are also provided in the same manner, with 12 leaves per year, i.e., one per month. Paid or earned leaves are allocated at 15 per year, i.e., 1.25 per month.

As per the AP Shops & Establishment Act, after the completion of 240 working days, only paid leaves will be allotted to an employee. This means that 240 days exclude Sundays, holidays, etc. Other leaves can be granted per company norms.

For leave purposes, no weekly offs or holidays can be taken into consideration. However, regarding experience certificates, weekly offs or holidays can be considered.

I am not confident that my information will clear all your doubts; still, I wanted to share what I know.

1) How many CL, SL, EL's can an employee get per year, or does it depend upon the company's decisions?

Hello colleague,

The issue of leave largely depends on each company's regulations on who qualifies, how many days, and how many types of leaves, etc. However, some countries have employment-regulated guidelines on vacation, and some employers choose to adopt those rules.

Casual and seasonally contracted employees do not qualify for paid leave in most countries. The main reason is that their nature of work is periodical. For permanent staff, most companies and governments have a rule that new employees can qualify for paid leave after successful completion of their probation or at least worked for 2 months.

The formula for the computation of paid leave is tricky and varies from company to company. However, in any instance, paid leave is treated as normal working days. So when computing the leave pay, this should be put into consideration. I will use 2 examples:

1. An annual salary-based formula is (BP X 12) / 365 = Annual Daily Rate. Multiply the above by the Paid Leave Days to get the Leave Pay.

2. Monthly Salary based on working days = BP / Monthly Working Days. Multiply the above by Paid Leave Days Balance.

Of course, both formulas may yield different amounts, but the company is at liberty to decide which formula best fits the situation. However, the employee should never be disadvantaged!

Dear friends,

In India, every workman is eligible for three kinds of leaves, i.e., CL, SL, and PL. According to the Factories Act, upon completion of 240 days of work, every workman is eligible to avail PL leave benefits. Normally, leave is calculated based on the number of working days. One workman is eligible to get 1 day of PL for every 20 working days (excluding weekly offs, holidays, and other availed leaves, etc).

It means:
1. How many months must an employee complete to be eligible for CLs?
2. How many months must an employee complete to be eligible for SLs?
3. How many months must an employee complete to be eligible for PLs?
