Usage Of Executive Bond Paper For Official Documents

Bbharati
Hello friends!

I am working with an upcoming IT company. Can anyone help on whether every document needs to be printed on Executive bond paper to obtain legal status? For instance, is it necessary to print the Appointment Letter on Executive bond paper with the company's letterhead on it?

We are currently printing Appointment letters on company letterhead. Please, if anybody could help me with this.

Thanks and Regards, Bharati

Hi Bharti,

It is essential to create a positive and professional image of your company in front of any outsider, including new joiners. Therefore, you must use letterheads, high-quality paper for printing, and good-quality envelopes. This is an image-building and branding exercise. However, I would like to bring to your attention that if you print anything on letterhead and sign it, or you print anything on plain paper and sign it with your company seal, or write anything on Legal stamp paper, then that document becomes binding on everybody who has signed it as it attains legal status.

I hope this clarifies your query. Take care.

Dear Sir/Madam,

In fact, my company is engaged with mobile IMEI as well as multiple businesses, and they need an agreement for the ten years to not be involved in any kind of business or to join the same type of company after relinquishment from the company. Almost all employees have signed but on plain A4 size paper, not on the bond or non-judicial paper. Is it valid for legal purposes? Kindly update me since it's very important.

Dear S. Kumar,

Signing on a simple A4 sheet will not hold much legal binding for the signatory, and you cannot challenge them in a court of law by merely having their signature on an A4 page. The agreement you mentioned needs to be made obligatory for the signatory by adding clauses and sections outlining penalties for any breaches. You should legalize the document by affixing your company's stamp or using a letterhead on legal bond paper. For this purpose, ensure that you affix the stamp before the signatures are obtained, with the signatures overlapping the affixed stamp. If your legal bond consists of more than one page, make sure to obtain signatures on each page with the stamp affixed, as mentioned earlier. This practice will protect you if you need to take legal action in the future, preventing any disputes regarding the addition of extra pages or changes in terms after obtaining signatures.
