Hi lavanya,
I just want to check whether your company has leave policy or not. If such policy is existing, how can a person take 10 leaves in a month. If sick leave more than 3 days, u can ask for medical certificates if he is admitted in a hospital. If it is annual leave the employee should give the 2-3 days prior notice to take such leave.
or else make a strict mandate that a employee can take only 2-3 leaves(Annual/previlage/personal leave) in a month.
On of sudden, leaves can be approved only in case of emergency.
Speak to him on this, if he is taking leaves in this way, inform him that, he cannot get leaves in future when it is emergency.
Dont forget to check left over leaves for each & every employee. so that you can have the track of leaves taken & remaning of an employee.

For this problem you should read your leave policy.Because every organization has its own policy.So,you may get solution of this problem or you can tackle this problem in other way like you can highlight this problem in front of you boss.This problem solved by consultation with him.

I totally dis agree with Mr. Ravi. The employee is not doing any voluntary job. for his duties he is paid for that & more over leaves are given to an employee according to leave policy that too these leaves are paid.

I hope your company must have a leave policy.
If an employee is taking 10 leaves in a month its not acceptable. If it is a sick leave for more than 3 days he should provide medical certificates if he is admitted in hospital.
I would suggest you to talk to him personally, inform him about his availed leaves. Sensitize him that if he taking leaves with our prior notice it would marked as LWP. also inform him that he will not have any leaves left over to take leave in case of any emergency, if he is taking leaves like this.
Make a strict mandate that every employee can avail (Annual/ Previlage/ personal) leave by giving 2 days prior notice to the top management.

Hello Lavenya,
Please note, the company rules and regulations are important and it is applicable even to senior managment. The said Engineer cannot club all his weekend leave for which has worked and claim comp off once for all. Yo0u need to take up the matter with his senior and explain the difficulty of your Dept. And every individual shold atend the Organizations duty call. Also, please note there is no such provision for clubbing of leaves and availing it at once.

I think even you too are a fresher, because you are directly preparing a duel and sharpening your weapons and misusing your power and all those HR executives ( so called learned people) who are encouraging you to write a warning letter. Do you or do they know meaning of warning letter? First do an analysis that as he is resident engineer his work schedule must be as such and since he might even be working on sundays. What you do is you give half information and all the HR members do keep shouting write warning letter write warning letter and so on. And you listen to them and spoil your respect as well as your companys respect and just because of this employee you think you can change company policy :icon9::icon9:, company policy is not a mobile phone that you change as per case.

Better first state his nature of job as he is resident engineer he is supposed to work only when work is there, I hope so, he might be having client visits only if something is wrong or maintenance is to be done. Hope the people in this forum understand the meaning of resident engineer. How many days is he working is he working in nights also. Also do give his attendance record for the past 2-3 months so that people can analyse the details.

To get right guidance pls provide the full details. Infact in my previous post I asked you about hw many leaves ur co. provides and does the emp take LWP. As 10 leaves (excluding weekend) really matters.
Also if his leaves are getting sanctioned by immediate reporting manager then talk to the reporting manager first!!

I don't agree with K. Ravi.
Every employee is human being (no question), but to maintain the company organized, sometime we should take some negative re enforcement. If any employee is well planned to take his leave, how we call him is a loyal and good employee. But here HR should find out why he is taking leave too frequently. Is he not happy with his job? But, be serious, all employees are looking to u, what necessary action are you taking? Don't give any extra benefit to anyone, no matter he is important or not.

Hi lavenya,

First thing First. Just check out the leave eligibilityof employees in your company. Check out the same and incase if he is exceeding the same, warn him in simple words that your leaves will be marked as LWP, and if possible document the same.

And if he still repeats the same, mark his LWP and instruct the payroll team to deduct salary accordingly. Ofcourse he ll ask his seniors for that, and that time itself you can produce the documented things.

Even if he doesn't agrees after this, then send him a letter which can be in the format of:

Dear -------,

It has come to the notice of management that you are in a habit of taking unauthorised leaves on a regular basis, which is against the company policy.

Consider this letter as a formal warning and necessary steps would be taken by the management if you continue to avails unauthorised leaves.

Even after this if he continues to avail leaves on a regular basis without permission and eligibility then start looking for a replacement.

Hi Ravi,

I like to clear one thing here, he is fresher dont have any past experience.
resident engineer doesn;t mean that he works 24x7, every month his schedule will be fixed by our specialized leader where he can enjoy saturday's & sundays also.
even at present he enjoy 9 to 6 job also, no work in the night. and if company needed any assistance from their side during weekends & night very rarely, my company will compensate this also & employees accept that.

It is his choice to be an resident engineer, we accept his request because even me & my company dont want that he live seperate with his family.
And please without knowing anything dont use harsh words. I respect you as might be you are more experienced than me. anyways. we all are here to understand our problems & I hope you also think in a same way..

In my company PL is 21, sick leave is 5, and there are 5 extra leave which we call as free leave, & he already took all leaves on pro-rata basis.

I have already taken one step to solve this problem, As this time also I consider his request guinue & grant him holiday but without pay as I have to take step to control my other employees also ,,but I request him in a polite manner not to take any leave further otherwise some disciplinery action will be taken from management side.
