My head HR asked me to prepare the employee satisfaction survey and circulate it to all employees. Now, after receiving the updated forms, my head HR is asking me to prepare reports, but he is not guiding me on how to do so, nor explaining what report he is expecting. Can you please guide me on how to prepare these reports? Also, if you have any formats, please forward them. Thank you.

Hi, Jyothi,

I have myself gone through the same problem some time back. This is what I did:

1. You have the updated forms, so now you need to get the database ready as per the data.
2. Then you should have the frequency of responses (Rank 1-5: 1 being highly dissatisfied and 5 being highly satisfied) against each question. For example, Question: Are you satisfied with xyz? Then you have data like:
- Rank 1: 10 responses
- Rank 2: 25 responses
- And so on.

Now, as a first step, just prepare the bar and pie charts for the data collected to have an idea for department-wise, region-wise, response-wise, and question-wise, and also the overall satisfaction index.

I hope I have not confused you :) Anyways, start with the process and do get back to me for any guidance.

Priyanka has rightly explained to you the process of analyzing the data. It may be useful to introspect what kind of answers we are looking for. For example, "Do we want to understand how satisfied our employees are with their salaries?" Or "Do employees feel that they are cared for?" Or "Do they feel that the organization provides learning and developmental opportunities?" etc.

If we are clear about our objective, we can design the questions for the survey. Now that that stage is already over for you, you can still think about what exactly you want to know from this survey. This will help you decide the approach for analysis. When you prepare a report that is meaningful to the management, it will help them (as well as you as a member of the HR team) to formulate an action plan.

Too much data analysis with no logical conclusion will only be a waste of time. So, based on your understanding, select relevant items for analysis and report.

Hello,

Very interesting phenomena. You have your questionnaire ready. You did not ask for help. You have it filled, and your boss says he can't help you!! First observation: No training climate in the organization.

Use simple statistical tools like average, frequency, standard deviation in analyzing data. Use age-wise, category-wise, department-wise, qualification-wise, years of experience-wise analysis. Standard statistical tools are available in Excel itself and you can use.

Hi,

If your HR head is not cooperating, then it's okay. The reason could be that you will be able to create something and learn from the procedure. Employee surveys are basically carried out to assess the company's policies and practices, whether the employee is aware of these policies or practices.

Just segregate your survey into various heads like work culture, job responsibilities, and whether employees are aware of succession policies and quality standards. You can then analyze them on a bar scale to reach any conclusions and give your recommendations.

The work culture or HR activities initiated or HR practices followed by your company will help you understand these surveys better.

I think the most important thing in a project is its questionnaire preparation. When your questionnaire and its filling process are over, then your project is halfway done. Now, what about the rest half?

For that, your table of contents will say it all. Your table of contents will include:

1. Introduction about the company
2. Introduction about employee satisfaction
3. Review of literature
4. Research done by other scholars on the same topic
5. Study objectives, methodology, and study area
6. Results, discussions, and graphs
7. Suggestions
8. Limitations
9. Conclusion
10. References
11. Annexure (questionnaire)

Your objectives, results, and conclusions will be interrelated to each other.

Suppose your objectives are:
- To identify variables that have a significant impact on the satisfaction level of employees.
- To make a plan to induce greater satisfaction.
- To identify prominent areas of dissatisfaction among the employees.
- To suggest measures for inducing greater satisfaction in the above-mentioned areas.

Now, you can conclude very well by analyzing the results, determining the satisfying elements in the job, and identifying the reasons for dissatisfaction.
