Hi Friends,

We are in the process of conducting the Annual Appraisal for all our employees and I need some help to draft a nice email to all our employees. I want to write an email to the managers and Heads of departments to request evaluations for their employees. In the email, I need to mention the benefits that will be received through the evaluation.

I have a few examples but have been unable to draft a suitable email. The examples are as follows:
1. Finding Key Performers in each department/section.
2. Identifying low performers.
3. Ensuring the right person is in the right job.
4. Facilitating internal transfers.
5. Initiating salary changes and promotions.

Dear Myasirtaj,

While you have asked for the draft of the letter that needs to be circulated to the HODs on conducting the performance evaluation, it creates a question in the reader's mind as to why such a letter is needed. Do you have a Policy on Performance Appraisal (PA)? If yes, then HODs should be conducting PA on their own without prodding from HR. The Policy on PA should clearly specify the performance cycle, who will conduct it, when it will be done, how it will be done, and the specimen PA form. Definitions of star performers, excellent performers, etc., are provided in this policy.

Against this backdrop, I recommend you create a policy on PA if you do not have one. Probably that is your right need.
